1. Who We Are

KidsXercise ("we", "us", "our") is a children's fitness and martial arts club operating in Irqah, Riyadh. We are the data controller responsible for your personal information. Contact us at info@kidsxercise.com for any privacy-related enquiries.

2. Data We Collect

About parents/guardians: Full name, national ID or Iqama number, email address, phone number, home address, and payment information (processed securely — we do not store full card details).

About child members: Full name, date of birth, gender, school name, emergency contact details, any relevant health conditions, allergies or medical notes provided by the parent or guardian, and attendance records.

Photography and video: We may capture images or video of classes and events for operational and promotional use only with explicit written consent. You may withdraw this consent at any time.

Website usage data: Basic usage analytics (anonymised) collected through our website.

3. Children's Privacy

All of our members are under the age of 18. We do not collect any personal data from a child without the verifiable consent of a parent or legal guardian. The parent or guardian is the primary account holder and is responsible for all information provided on behalf of the child. We collect only the minimum data necessary to deliver safe, high-quality training.

We do not sell, share, or use children's personal data for marketing or profiling purposes.

4. Why We Process Your Data

We process personal data to: fulfil our membership agreement and deliver classes; ensure the health and safety of all members; communicate important updates, schedule changes, and account information; process payments; comply with Saudi legal and regulatory obligations; and, where consent has been given, share promotional content.

5. Data Sharing

We do not sell your personal data. We may share data with: payment processing providers (under strict data processing agreements); our insurance provider; regulatory or government authorities when legally required; and emergency services if required for the safety of a child.

6. Data Retention

We retain membership records for the duration of membership plus 3 years. Financial transaction records are retained for 7 years in accordance with Saudi tax and commercial law. Health and medical records are retained only as long as membership is active, then securely deleted upon written request.

7. Your Rights (PDPL)

Under the Saudi Personal Data Protection Law, you (as the parent/guardian) have the right to: access a copy of the personal data we hold; request correction of inaccurate data; request deletion of data where no longer required; withdraw consent for promotional communications at any time; and lodge a complaint with the Saudi Authority for Data and Artificial Intelligence (SDAIA).

To exercise any of these rights, email info@kidsxercise.com with the subject line "Data Request". We will respond within 30 days.

8. Security

We use industry-standard technical and organisational measures to protect personal data, including encrypted storage, access controls, and staff training. In the event of a data breach that poses a risk to your rights, we will notify you and relevant authorities as required by law.

9. Changes to This Policy

We may update this policy from time to time. The current version will always be published on this page with the effective date. Material changes will be communicated to registered members by email.

1. Registration Fee

A one-time registration fee of SAR 200 is charged upon enrolment. This fee is non-refundable in all circumstances as it covers administrative processing, member onboarding, and your starter welcome pack.

2. Monthly Membership Fees

Cancellation with notice: Members may cancel at any time by providing 30 days' written notice via email to info@kidsxercise.com. The membership continues and is billed for the notice period; no further charges apply after that.

Mid-month voluntary cancellation: Monthly fees already paid are non-refundable for the current billing month in cases of voluntary cancellation.

Medical cancellation: If a child cannot continue due to a medical condition, a pro-rata refund for unused days in the current billing month will be issued upon presentation of a valid medical certificate from a licensed physician. The registration fee remains non-refundable.

3. Membership Pause / Freeze

Members may pause their membership for up to 3 months per calendar year due to medical reasons or extended travel, with written notice and supporting documentation. During a freeze, no fees are charged and the membership resumes automatically at the end of the freeze period. Pauses are not available for the founding member introductory period (first 3 months).

4. Trial Class

The complimentary trial class offered to new prospective members has no cash value and cannot be exchanged, transferred, or refunded.

5. Merchandise & Retail

Items purchased from the KidsXercise merchandise wall may be returned within 7 days of purchase in unused, unwashed condition with original receipt and tags attached, for a full refund or exchange. The following are non-returnable: custom-printed or personalised items, worn or washed items, sale items marked as final, and consumables.

6. Camp & Event Bookings

Holiday camps, workshops, and special events are subject to their own individual booking terms communicated at the time of registration. Generally, cancellations made more than 7 days before the event receive a full refund; cancellations within 7 days receive a 50% refund or a transfer credit.

7. How to Request a Refund

All refund requests must be submitted in writing to info@kidsxercise.com with the subject line "Refund Request", your full name, child's name, membership number, and reason for the request. Approved refunds are processed within 7–10 business days to the original payment method.

8. Founding Member Rates

Founding member rates are locked for as long as the membership remains active. If a founding member cancels and later rejoins, the founding rate is not guaranteed and standard rates at the time of rejoining will apply.

1. Agreement

By registering a child as a member of KidsXercise, the parent or legal guardian ("Member") agrees to these Terms & Conditions in full. These terms form a legally binding agreement under the laws of the Kingdom of Saudi Arabia.

2. Membership & Eligibility

Membership is open to children aged 3–18. All registrations must be completed by a parent or legal guardian aged 18 or over. KidsXercise reserves the right to decline or terminate membership at its discretion if a member's conduct is deemed harmful to the safety, wellbeing, or enjoyment of others.

3. Health Declaration

The parent or guardian confirms that the child is in suitable physical health to participate in fitness and martial arts activities, and that all known medical conditions, allergies, injuries, or physical limitations have been disclosed to KidsXercise in writing at the time of registration. KidsXercise must be notified immediately of any change in the child's health status. Failure to disclose relevant health information absolves KidsXercise of liability for any related incidents.

4. Liability Waiver

The parent or guardian acknowledges that participation in physical activities, including martial arts and gymnastics, carries an inherent risk of minor injury. KidsXercise takes all reasonable precautions to ensure the safety of members, including qualified coaching, appropriate equipment, and safety protocols. KidsXercise is not liable for injuries resulting from failure to follow coach instructions, misuse of equipment, or undisclosed medical conditions.

KidsXercise maintains appropriate insurance coverage for all activities conducted on its premises.

5. Code of Conduct

All members and accompanying adults are expected to behave respectfully at all times. The following are strictly prohibited: bullying, harassment, or intimidation of any kind; disrespecting coaches, staff, or other members; use of profane language; use of mobile phones in active training areas; bringing food or drinks (other than water) into the studios; and arriving in unsuitable attire. Serious breaches may result in immediate suspension or termination of membership without refund.

6. Dress Code & Equipment

Members must wear appropriate athletic attire as specified for their program (e.g., gi for BJJ/Karate, clean athletic wear for fitness). Shoes must be removed before entering matted areas. KidsXercise provides basic shared equipment; members may be required to purchase their own gloves, shin guards, or gi for certain programs.

7. Payment Terms

Membership fees are charged monthly in advance. Payment is due on the same date each month. Late payment of more than 7 days may result in suspension of access until the outstanding amount is settled. KidsXercise reserves the right to update membership fees with a minimum of 30 days' written notice to members.

8. Photography & Video Consent

KidsXercise may photograph or video record classes, events, and training sessions for quality, safety, and promotional purposes. By registering, the parent or guardian grants permission for their child to appear in such content unless a written opt-out is submitted. You may opt out or change your preference at any time by contacting info@kidsxercise.com.

The use of personal recording devices (phones, cameras) by parents or guardians in or around training areas is permitted only with the expressed consent of all other parents/guardians present, to protect the privacy of all children.

9. Drop-off & Collection

Children may only be collected by the registered parent/guardian or a pre-authorised adult whose details are on the membership record. KidsXercise staff will not release a child to an unregistered individual without prior written consent from the account holder.

10. Changes to These Terms

KidsXercise reserves the right to amend these Terms & Conditions at any time. Members will be notified of material changes at least 30 days in advance via registered email. Continued use of the membership after the effective date constitutes acceptance of the updated terms.

11. Governing Law

These terms are governed by and construed in accordance with the laws of the Kingdom of Saudi Arabia. Any dispute arising from these terms shall be subject to the jurisdiction of the competent courts of Riyadh.
